2023 ACS Annual General Meeting and Information Session [IN-PERSON]
NOTICE OF THE 2023 ACS ANNUAL GENERAL MEETING AND MEMBER INFORMATION SESSION
About this event
Under Section 13 of the ACS Rules, the Annual General Meeting (AGM) of the Australian Computer Society Incorporated for 2023 will be held at the Hyatt Hotel Canberra, 120 Commonwealth Ave, Yarralumla ACT, on Monday 20th November 2023 at 6.45pm (AEDT). A Members Information Session will be held prior to the meeting commencing at 6.00pm.

2. Confirmation of the Minutes of the 31st AGM held on 22 November 2022
3. Acceptance of the consolidated Annual Financial Statements of Australian Computer Society Incorporated (the Association) and its subsidiaries (the ‘Group’) for the year ended 30 June 2023.
4. Receipt of the report of Management Committee on the activities of the Society during the financial year ended 30 June 2023

Important Changes from the 2022 Annual General Meeting
The ACS is regulated by Access Canberra under the ACT Associations Incorporations Act and this law requires us to hold a Face to Face AGM with voting from those physically present, together with proxy votes. During COVID, the ACT Government put in place emergency regulations which allowed virtual voting. Unfortunately, these regulations have now concluded and so we will not be able to use virtual/online voting this year and will revert to the original approach of Face-to-Face voting, together with proxy votes.
Recognising that members have enjoyed the AGM and Members Forum being available virtually, Management Committee have agreed to continue with a Members Forum and to Live-Stream the AGM. However, for the reasons discussed above, we cannot, unfortunately have virtual voting.
If you are unable to physically attend the meeting and want your vote recorded, we encourage you to submit a proxy vote.
Appointing a Proxy:
If you cannot attend, you are entitled to appoint an eligible person to vote on your behalf. Submit an Appointment of Proxy Form by:

• post to Governance, ACS, PO Box Q534, QVB, SYDNEY NSW 1230
ensuring it is received by ACS no later than 72 hours prior to the AGM commencement.
Who is eligible to vote:
All financial members, other than members of Overseas Group, Students, Honorary Fellows and Honorary Members (who were not members before classification as an Honorary Member) are entitled to attend and vote at general meetings of the Society. A member may not vote at any general meeting of the Society unless all monies payable by that member (and their proxy), to the Society, have been paid.

In order to ensure appropriate checks of eligibility to attend and vote at the AGM, registration will close 5 hours before commencement at 1.45pm (AEDT) on Monday 20th November 2023.
Two hours before the event commences all members registered for the live stream event will be sent a link to access the online portal.
Members Information Session
A Members Information Session will be held prior to the Annual General Meeting from 6pm.
Members are invited to submit questions for the information session.

Registration
- Payment in full is required the time of booking in order for the registration to be valid.
- To avoid disappointment, ensure you pay for your booking(s) before the registration closing date. Anyone that has not received a confirmation email will not be on the event attendance list and therefore will not be admitted to the event.
- Online registration ends at the time stated on the event registration page.
Cancellation and Refund
All cancellations must be processed through the website, a refund will only be considered if it is at least 3 working days prior to the event.
Disclaimer
- ACS reserves the right to change the program at any time. Every effort will be made to ensure a program of equivalent standard and members are updated with changes.
- All dietary requirements are considered, however we cannot guarantee a 100% allergen free environment.
- ACS reserves the right to prohibit entry or eject any person from an ACS event based on behaviour deemed inappropriate by ACS staff, its agents and/or others working under its authority.
- Filming or streaming by attendees is not permitted. If an attendee is found to be doing so they will be asked to leave the event immediately and further action may be taken.
- Photography and/or filming may take place during this event, by accepting these terms you consent to this. Please let a member of ACS know if you do not want your picture taken.
COVID-19 Event Attendance Compliance
By registering to attend an ACS in person event you are agreeing to the below terms and conditions
- If an attendee is displaying flu or cold like symptoms in the days leading up to the event and therefore is not able to attend, ACS will refund the registration fee.
- If an attendee comes to an event and is displaying flu or cold like symptoms they will be asked to leave
- We ask all ACS members to respect the social distancing guidelines, if an attendee repeatedly disregards these guidelines, they may be asked to leave
- ACS reserves the right to cancel the event within 24 hours' notice if either the speaker or the event host has advised us that they are exhibiting flu or cold like symptoms
- All attendees must provide a valid phone number and email address to be contacted on if there is reason to notify about a possible COVID-19 exposure

By registering for this event, you are providing personal information to the Australian Computer Society. In accordance with the ACS Privacy Policy, ACS collects personal information through registrations and attendances at its events for the purposes of:
